The Litigation module of Aston AI Cash collection software allows you to generate registers containing all information relating to litigation with a given customer.

Create the templates used to send out litigation registers

From the list of templates, create an email template for the "Litigation register" application domain, which will be used to send out litigation registers.
Several clip categories are available for customizing the dispatch template: customer information, customer contact information (automatically replaced by the data of the selected third party), signatory details, financial values linked to the customer, as well as any additional data present in the customer's file. The "Miscellaneous" category must include the "Link to documentation" clip, which will enable the recipient third party to access all the documents contained in the register.

Access the interface for creating a contentious register

From a customer master record, access the "Dunning follow-up" tab.
Click on the "Create CTX register" button to open the litigation register creation interface.

Create a litigation register

The contentious register creation interface is made up of 2 tabs: "Accounting vouchers": presents the customer's accounting vouchers that are at contentious dunning level (CTX) "Attachments": presents documents linked to the customer and his vouchers, as well as the RIB-type platform document.
Select the accounting documents and attachments you wish to include in the litigation register.
Click on the "Create" button at the bottom of the interface.
The litigation register in ".zip" format is created and made available in the customer's "Linked documents" tab.
A notification is generated when the register is available

Create and send a contentious register

The contentious register creation interface is made up of 2 tabs: "Accounting vouchers": presents the customer's accounting vouchers that are at contentious dunning level (CTX) "Attachments": presents documents linked to the customer and his vouchers, as well as the RIB-type platform document.
Select the accounting documents and attachments you wish to include in the litigation register.
Click on the "Create and send" button at the bottom of the interface.
In the pop-up window that opens, select: the third-party contact to whom the litigation log is to be sent the email template used to send the litigation log
Following validation, the litigation register in ".zip" format is created and sent to the contact via a dedicated "Litigation Register" dunning action.
A notification is generated when the action has been performed automatically by the system

Composition of a litigation register

An Excel file with several tabs:

Customer" tab

Contains information relating to the customer concerned by the register. It is composed of the following blocks:
  • Customer” block: Information taken from the Customer ID tab

  • Contact” block: Information on the default dunning contact

  • Linked documents” block: Category documents Customer selected in the Attachments tab when creating the register, stored in the archive’s “Customer” folder

Parts tab

Lists the information associated with each selected accounting document. It is made up of the following elements:

  • Part number” field: Part identifier

  • Characteristics” block: Key part data

  • History” block: History of actions or movements

  • Comment” block: Comments entered

  • Linked documents” block: Documents of the Parts category selected in the Attachments tab, stored in the “Parts” folder.

Dunning" tab

Contains dunning actions that have integrated at least one of the parts in the register. It is structured as follows:

  • Dunning number” field: Identifier of the dunning action

  • Characteristics” block: Action details (type, date, channel, etc.)

  • Parts” block: List of parts concerned

  • Contact block: Contacts who received the reminder

  • Comment” block: Comments specific to the action

  • Linked documents” block: Documents linked to the dunning notice, excluding:

    • PDFs of parts (already listed in the “Parts” block)

    • Message content (already included in the “Features” block)

Platform" tab

Contains data relating to the platform. It includes :

  • Linked documents” block: Platform category documents selected in the Attachments tab and stored in the archive’s “Platform” folder

The registry also includes several folders, created from documents selected in the Attachments tab:

grouping together customer category documents

Parts

grouping documents of the parts category

Platform

grouping platform category documents

Relaunch

  • All documents related to the actions carried out which contained at least one of the items selected in the table of accounting documents.
  • A PDF document corresponding to each reminder sent (email/mail/sms)
