The 2025 e-invoicing reform will radically transform the way French companies exchange and declare their invoices. All companies, whatever their size, will be affected. Compliance implies new processes, sometimes complex to set up. Excel remains an accessible tool for monitoring your obligations and preparing for the transition. That’s why we’ve provided you with a free, ready-to-use Excel template, Electronic Invoicing & Compliance.

Understanding the Electronic Invoicing Reform

The reform requires all invoices to be sent and received in electronic format via approved platforms. Two key players are involved: PDPs (Plateformes de Dématérialisation Partenaires) and PPFs (Portail Public de Facturation). Invoices will have to comply with the Factur-X format and incorporate structured data to facilitate processing and VAT declaration.

The aim of this reform is twofold: to improve the fight against fraud, and to simplify tax data collection. Companies need to prepare their processes now to avoid any delays in compliance.

Practical example in Excel

Our Electronic Invoicing & Compliance Excel template helps you keep track of your invoices and check their compliance. The file includes columns for :

  • Identify each invoice issued or received.
  • Check for the presence of required information (SIREN, VAT, etc.).
  • Check the format (Factur-X or other).
  • Monitor the channel in use (PDP, PPF).
  • Record the transmission for VAT e-reporting.

Example: an SME can enter its invoices in the table and check that they conform to the required format. The file enables them to anticipate any corrections required before transmitting via an approved PDP.

PDP and PPF checklists

Good preparation is the key to successful compliance. Our model includes a checklist of obligations to be met:

  • Be connected to a PDP or PPF.
  • Respect the Factur-X format.
  • Report your e-reporting transactions on time.
  • Archive your electronic invoices in compliance with legal requirements.

Thanks to this checklist, you can check the progress of your project at a glance and reduce the risk of non-conformity.

Excel's Limitations and the Aston AI Alternative

Excel may be a good place to start, but it’s no substitute for a specialized solution. Manual tracking quickly becomes time-consuming and error-prone, especially for companies with a large volume of invoices. What’s more, Excel does not support automatic transmission via PDP or PPF.

With Aston AI, you benefit from direct integration with your customer invoices and collection processes. The software helps you stay compliant, while automating collection and reminder follow-up. You save time and secure your cash flow.

Take the next step with Aston AI

The Electronic Invoicing & Compliance Excel template is a useful first step in anticipating the reform. But if you want to go further, Aston AI can support you with a SaaS platform for collections and billing management.
