The aged trial balance and DSO (Days Sales Outstanding) are among the tools most frequently used by credit managers and finance departments to manage receivables. They are used to measure the quality of collection and the speed with which receivables are converted into cash. For many SMEs and ETIs, Excel remains the primary solution for calculating these indicators. To save time and secure your calculations, we offer you a ready-to-use Excel template, free of charge and easy to use.
What are customer ageing scales?
An aged trial balance is a table that breaks down customer invoices by age. Receivables are grouped by age: 0-30 days, 31-60 days, 61-90 days and over 90 days. This tool is essential for identifying late payments and focusing collection efforts on the most at-risk customers. In practical terms, it enables a CFO or credit manager to see at a glance which customers are weighing most heavily on cash flow.
For example, if a large proportion of invoices are in the +90 days bracket, this indicates a high risk of non-payment. The aged trial balance also serves as a basis for internal reporting and discussions with sales teams.
Practical example in Excel
Our Excel aged trial balance template automatically sorts your invoices by age. Simply enter the customer, due date and invoice amount. The file divides receivables into the right intervals and generates summary indicators.
Example: a service SME can use this table to monitor all its outstanding invoices. If it finds that 40% of its invoices are more than 60 days overdue, it can alert its collection team and follow up more intensively with the customers concerned.

How do I calculate DSO in Excel?
DSO (Days Sales Outstanding) measures your customers’ average payment time. It is calculated by dividing outstanding customer accounts by daily sales (annual sales / 360 days). Our file directly integrates this formula and updates the DSO according to your actual data.
Example: if you have €300,000 in receivables and annual sales of €3.6 million, your DSO will be 30 days. Thanks to the Excel model, this calculation is made automatically and adjusted according to your cash inflows.
Excel's limitations and the SaaS alternative

That’s where Aston AI comes in. Our SaaS collections software integrates aged trial balance, DSO and many other indicators in real time. AI helps you prioritize your dunning actions, forecasts late payments and automates up to 80% of tasks.
