Customer supporting document

« Back to Glossary Index

A customer’s supporting documentation is the document provided by a customer to explain why they are not paying or are not paying in full: an incomplete delivery slip, a photo of a damaged product, proof of payment, or a request for a credit.

Example

A customer claims to have already paid. He sends proof of the bank transfer: the payment had been applied to a different invoice. The reconciliation is corrected, and the collection effort is halted.

Why It’s Important

Keeping supporting documents in the customer file speeds up the resolution of disputes and prevents repeated back-and-forth communication.
